Policy

PLANNING YOUR EVENT

At Moraine Valley Community College, our experienced staff is capable of creating the right menu and atmosphere for your event. Early planning for your event will enhance your experience. After identifying your special date, please contact the MVCC Scheduling and Events Office to determine space availability on campus. After your reservation has been confirmed, please contact our Catering Office at (708) 770-7117 or (708) 974-5611 for your food needs.

Our professional catering staff will assist you with creating a memorable event. For this reason, we ask that you contact us a minimum of two weeks prior to your function.

CATERING GUARANTEES

Country House Catering guarantees to provide quality food and service. In order for us to provide you with the best possible service for your event we must be able to plan accordingly. A guaranteed number of guests must be provided no later than 3 business days prior to your event (not including the day of the event, weekends, and holidays).

CONFIRMATION/BILLING

A copy of the final arrangements and the necessary billing information will be emailed to you. Please review all the information for your event: date, time of delivery, set-up, and food/beverage order. If we do not receive the signed confirmation, the preparation and billing will be based on the original reservation contract. Services may be paid by cash, check, credit card or by providing your Moraine Valley Community College budget code.

Events not charged to a University account require 50% deposit of the guarantee and the final balance due 3 business days prior to your scheduled event. The menu prices include service for your event for 4 hours. Events lasting longer than 4 hours will be subject to additional staffing charges.

LATE ARRIVALS, CANCELLATIONS, AND NO SHOWS

If you need to cancel your plans, notice is required three (3) business days in advance of your event to help avoid charges for incurred expenses. Cancellations are to be made with the Catering Manager at (708) 770-7117 or (708) 974-5611 . Please notify the Catering Department as soon as possible as we require a three (3) day advance notice of cancellations.

DELIVERY CHARGES

There is no delivery fee for functions catered on MVCC’s main campus. We will calculate a delivery charge into the event price for off-campus functions. Arrangements may also be made to pick up any order.

ENTRÉE SELECTION

A single entrée selection is recommended for all meal functions. If a second selection is necessary, the exact number of each entrée must be guaranteed 72 hours prior to the event. Special dietary requests can be accommodated with prior notice.

LINEN SERVICE

Buffet tables for food, beverages, and bar services are dressed with linen compliments of Country House Catering. Linen is available for guest, registration, and meeting tables at a nominal charge. Specialty linen services include skirted panel and display tables and coverings for cocktail and cabaret tables. Any specialty linens or colors must be requested in advance. Note: specialty linens are rented from outside vendor and the charge will be passed on to the client.

LEFTOVERS

Due to Department of Health Regulations and Quality Assurance Policies, leftover food and beverages are not allowed to leave the event location after the event has ended. Guest are not permitted to take leftover food to go. Dining Services does not credit unused food and beverage items. All perishable food must be cleared by Catering Staff no longer than 3 hours from the scheduled serving time.

PRICING

Upon request, food and beverage prices can be quoted in writing sixty (60) days prior to the event.

A minimum order of $25.00 is required for all Catering Orders (Monday – Friday)

A Minimum order of $200.00 is required for all Weekend catering orders subject to approval from Catering Department.

EXCLUSIVITY & FOOD WAIVERS

A Food Waiver Request Form must be submitted through Country House Dining Services documenting the reason for the request. Each food waiver form must be accompanied by a Certificate of Liability Insurance, a current City of Chicago/State of Illinois Sanitation License and a signed copy of Guidelines for Food Service Request. Once an event has been waived by Country House Dining Services, the approved caterer will be responsible for providing all necessary supplies, equipment, and services needed for the event. Any supplies requested from Country House will incur additional expense.

CATERING WAIT SERVICES

All buffet and plated meals include adequate wait staff. Should you desire additional servers or for an event that attendants are not assigned, you will be billed $30.00 per hour per server. Bartender fee is $35.00/hour.

DISPOSABLE/CHINA SERVICE

The Catering Guide notes which type of dinnerware is included with menu items. Most selections are served on plastic ware. Several different kinds of disposables are available to match the look of your event. We can accommodate requests for China Service also. Please see Additional Services for more information.

LIQUOR LAWS & SMOKING RESTRICTIONS

State liquor laws require all alcoholic beverages be purchased and dispensed by our trained personnel. Alcoholic beverages may not be brought in or removed from the premises. Tab bars are permitted on the main campus. No cash bars are allowed. Adherence to Moraine Valley Community College alcohol policies and local liquor laws will be strictly enforced.

Moraine Valley Community College is a smoke/tobacco free campus. Smoking is not permitted anywhere on campus.

ON LINE ORDERING

MVCC internal events are encouraged to be placed directly through our Catertrax web site, www.mvcccatering.catertrax.com We strongly request all clients to place all catering events on Catertrax which is the most direct and efficient way of processing your order. Please use the note section to add any comments or special items. However, you can also email, call or place your order in person by visiting us in the Campus Diner.
